Configuring your HP Fax from a Macintosh computer

Although most of the HP Fax settings can be configured from the All-in-One control panel menus, they also can be configured, in a more more friendly and easy way, through the HP All-in-One software interface for Mac OS X.

Learn how to configure the main fax settings from your Macintosh computer and make full use of your HP All-in-One printer fax-related capabilities like sending a fax from your Mac, checking fax history, managing speed dials or setting the fax answer mode.

HP Utility (hp-utility-icon) is the software interface from which you can easily manage all settings and features of your HP All-in-One printer from your Mac.

NOTE: Depending on the All-in-One model and the Operating System you could find minor differences between the pictures and instructions along this section and those showing in your Mac.

Getting startedGetting started

First of all, open HP Utility (hp-utility-icon)  by clicking its icon on the dock or following the steps below:

  1. Open the Finder (finder-icon) by clicking its icon on the dock.
  2. Go to the Applications folder.
  3. Search and open the Hewlett Packard folder.
  4. Double-click HP Utility and wait until it opens.
The last section is fully dedicated to fax settings configuration.

Sending a fax from your MacSending a fax from your Mac

For all HP All-in-One printer models that incorporate faxing capabilities you can send faxes in standalone mode (meaning with no software intervention), however on some occasions you may find useful to send a fax from your Mac.

Follow the steps below to send a fax from your Macintosh computer:

  1. Open a document using a word processor or viewer, and then open the File menu and select Print. In the window that opens, two similar printer names should show; select that with the word Fax at the end of its name.
    Afterwards, a window similar to the one below opens.

  2. Open the drop-down list about the middle of the window to configure the settings related to the fax that is about to be sent.

  3. Select Fax Recipients from the drop-down list and enter the personal data and fax number of the recipient(s), and then click the Add to Recipients button and click the Send fax now button.

On latest HP All-in-One models the window that opens after selecting the fax and clicking Print, directly allows entering the recipients and sending the fax.

Adding or editing a fax headerAdding or editing a fax header

You can manage the personal information (e.g. your fax number, your name, or the name of a company) visible at the header of every fax sent from the HP All-in-One printer.

See below how to do it:

  1. Open HP Utility (hp-utility-icon) and click Basic Fax Settings (located within the Fax Settings section). A window like the one below opens:

  2.  Enter the required data (Name and Fax Number) and click the Apply Now button to save changes.

Configuring Answer Mode and Rings to AnswerConfiguring Answer Mode and Rings to Answer

For HP All-in-One printers the Answer Mode can be set to Manual or Automatic. If set to Automatic, the fax will activate to answer all incoming calls after a certain number of rings.

  1. Open HP Utility and click Basic Fax Settings (located within the Fax Settings section). A window like the one below opens:

  2. Enable or disable Auto-Answer and select a value for Rings to Answer in case you enabled Auto-Answer. Finally, click the Apply Now button to save changes.

Running a Fax Setup testRunning a Fax Setup test

A Fax Setup Test can help you to troubleshoot fax issues by testing the fax hardware setup and printing a diagnostics page.

See below how to run such test:

  1. Open HP Utility and click Basic Fax Settings (located within the Fax Settings section). A window like the one below opens:

  2. Click the Test button next to Test the device fax setup.

Forwarding a fax to a different fax numberForwarding a fax to a different fax number

You can make the HP All-in-One printer to forward automatically inbound faxes to a different fax number. See below how to do it:

  1. Open HP Utility and click Fax Forwarding (located within the Fax Settings section). A window like the one below opens:

  2. Check the Enable Fax Forwarding box, enter the fax number to which incoming faxes will be forwarded, set the range of time during which fax forwarding will be active, and then click the Apply Now button.

Speed Dials allow placing a fax call by pressing a reduced number of keys.

  1. Open HP Utility and click Fax Speed Dials (located within the Fax Settings section). A window like the one below opens:

  2. Click the + (Plus) and - (Minus) buttons or type the information you want in the Speed Dial memory of your HP All-in-One printer. You can also use your Mac's address book to find and add information.

See below how to block reception of faxes sent from undesired fax numbers:

  1. Open HP Utility and click Junk Fax Blocking (located within the Fax Settings section). A window like the one below opens:

  2. Enable the service, use the + (Plus) and - (Minus) buttons to add or remove fax numbers and click the Apply button.

Checking fax historyChecking fax history

You can easily access to a registry of past fax interactions to check all the relevant information about faxes sent and received (e.g. date, fax number or result).

See below how to access such registry of your HP All-in-One printer through HP Utility (hp-utility-icon):

Open HP Utility and click Fax Logs (located within the Fax Settings section). A window like the one below opens:

Additionally you can check the Block checkbox (next to the fax number) to block any faxes sent from that number.

Configuring Digital Fax servicesConfiguring Digital Fax services
HP Digital Fax services allow storing an electronic copy of incoming black & white faxes in a given folder located in the hard disk (or a folder shared over the network) or forward them as e-mail attachments to a given e-mail address.
The setup wizard provides an easy way to configure this service.

NOTE: Digital Fax services are available for only certain HP All-in-One models. Check the documentation that came with your HP All-in-One printer to know if it incorporates this feature.

  1. Open HP Utility and click Fax Logs (located within the Fax Settings section). A window like the one below opens:

HP Device Manager is the software interface (previous to HP Utility) from which you can easily manage all settings and features of your HP All-in-One printer from your Mac.

NOTEHP Device Manager is not compatible with Mac OS X 10.6 (Snow Leopard). If your Mac’s Operating System is Snow Leopard you should install the appropriate version of the HP All-in-One software.

  1. Place the original on the scanner glass or ADF (Automatic Document Feeder), and then click Send Fax in the HP Device Manager. A window like the one below opens.

  2. Open the drop-down list about the middle of the window to configure the settings related to the fax that is about to be sent.

  3. Select Fax Recipients from the drop-down list and enter the personal data and fax number of the recipient(s), and then click the Add to Recipients button and click the Send fax now button.

Follow the steps below to send a fax from your Mac using a word processor:

  1. Open a document with a word processor (e.g. TextEdit or Microsoft Word) or viewer, open the File menu and select Print. In the window that opens, two similar printer names should show; select that with the word Fax at the end of its name. A window like the one below opens.

  3. Select the Info & Settings tab and enter your data under the sections Fax Header and Personal Information, and then click the OK button.

You can make the HP All-in-One printer to forward automatically incoming faxes to a different fax number. See below how to do it:

  1. Open HP device manager by clicking its icon on the dock (hp-device-manager).

  2. Select HP Fax Setup Utility from the Information and Settings drop-down list (located at the bottom of the HP Device Manager).

  3. Select the Info & Settings tab and go to the Forward Fax section.

  4. Select one of the available options (just print incoming faxes, forward them or both), then enter the fax number to which incoming faxes will be forwarded and click the OK button.

    NOTE: Select the Print option and leave blank the Forward Number field if faxes will not be forwarded but just printed upon being received.

Running a Fax Setup TestRunning a Fax Setup Test

  3. Select the Info & Settings tab, go to the Line Test and click the Start Test button.

Configuring speed dialsConfiguring speed dials

  1. Open HP device manager by clicking its icon on the dock (hp-device-manager).

  2. Select HP Fax Setup Utility from the Information and Settings drop-down list (located at the bottom of the HP Device Manager).

  3. Select the Speed Dialing tab.

  4. Use the Plus (+) button to add speed dials to the list and Minus (-) to remove them from it, and then click the Apply button.

NOTE: You can access more directly the Speed Dialing section by selecting Fax Speed Dial Settings from the Information & Settings drop-down list in the HP Device Manager.

Checking fax historyChecking fax history

You can easily access to a registry of past fax interactions to check all the relevant information about faxes sent, received and blocked (e.g. date, fax number or status).

See below how to access such registry of your HP All-in-One printer:

  1. Open HP device manager by clicking its icon on the dock (hp-device-manager).

  2. Select HP Fax Setup Utility from the Information and Settings drop-down list (located at the bottom of the HP Device Manager).

  3. Select the Logging & Blocking tab and use the Fax Log drop-down list to view separately the registry of Received faxes, Sent faxes and Blocked faxes.

    Additionally you can block incoming faxes from certain numbers by selecting a fax number in the Received Faxes log, and then clicking the Block button at the bottom of the window, and finally clicking the Apply button.
